What is Kofax Capture?
Kofax Capture automates and accelerates business processes by capturing paper and electronic documents and forms, transforming them into accurate and actionable information, and delivering it into core business applications, processes and workflows. It is capable of high-speed scanning with real-time image display, indexing, and bar code detection. It is mobile-accessible via the Kofax Mobile Capture Platform. With Kofax Express, documents may be scanned, indexted, and retrieved more rapidly and easily. Kofax patented VirtualReScan® (VRS) technology is built into the application to ensure optimal image quality, reduce errors and exceptions, and improve system effectiveness. Kofax can export captured images and data to a wide variety of backend systems including Microsoft SharePoint and Kofax Capture. Kofax Express can be extended with the addition of Kofax Express Workstations. Workstations adds additional indexing, recognition or export stations to a solution.

Kofax Capture allows us to scan and capture documents directly into our automated workflows.
Kofax Capture is used to scan and index various documents and forms. Some documents are forms that we send to our clients to complete and return. These have barcodes on them to assist with the scanning and indexing process. Others may be free form documents that are clients send into us. One example might be a letter that is sent in to address a concern or ask a question about their account.

Kofax Capture was less expensive than the IBM product and was easier to use than both IBM and Amazon in my opinion. The unlimited scripting of Kofax Capture allowed us to fully integrate the tool into our business processes to improve our automation and reduce errors. We also looked at a product from Nuance but at the time decided to eliminate it from our evaluation.

The swiss army knife of data extraction
Kofax Capture provides a conduit where emails, paper documents, and files stored in folders to all be normalized and processed so that useful information can be extracted and used in business. For all the implementations I have done the information has been put into a format that back-end systems could easily process, along with the image in a TIFF or PDF format, to let a customer-initiated process be resolved and processed faster than previous manual entry operations.
- The VRS application included with Kofax Capture is the best image pre-processing platform available on the market today. It can handle a wide array of common document problems such as skew, flipping, wrinkles, lines, and dots.
- The platform is incredibly scriptable and can be customized to handle all sorts of unusual document contents to allow information to be extracted that many other platforms just struggle on. Table extraction, line item matching, and smart extraction are all strong points with this platform.
- Through the use of SBL and .NET the platform can be expanded and scaled quite easily to allow for the software to be integrated into existing business processes and platforms with ease.
- Kofax Capture's interface is antiquated and could use a refresh. An attempt was made two versions back to add ribbons and modernize the interface but anything below the first level looks and feels like a tired application.
- Bugs that have existed in the platform for years are still prevalent and there is no priority to fix them. Features and critical bugs are regularly fixed but simple nagging ones that can cause a development project to close and lose all work is commonplace.
- Licensing, while reasonable for lower volume solutions, becomes expensive once a project reaches a certain threshold. Ensure future planning capacity is done before purchasing to make sure it's a cost effective solution.
- Kofax Capture is quick to install and running for small installations. When wanting to scale up, however, the product would benefit from SMEs to help implement the solution.
- Reduced keying and faster turnaround on customer inquiries has helped reduce headcount for handling previously manual processes and reduce the amount of keying error.
- Proper installation and maintenance of the platform is key to help prevent costly issues from cropping up in the future. Plan ahead and work with a reseller early on in the process.
Kofax Capture is a very extensible platform that is a swiss army knife for data extraction. The other platforms handle standard forms and tables well but does not allow for the customizations needed for more complex documents that Kofax Capture is able to do with ease.

My Experience with Kofax
We are in the healthcare industry and use Kofax to scan medical information into the our EHR.
- Images are easy to manipulate prior to incorporating them into the electronic health record.
- It is very easy to use and compatible with our current software.
- Very useful for our batch scanning needs.
- We have at least 10+ licenses so it can be somewhat pricey.
- We were able to decrease personnel expenditures as there was not a need for individuals to index documents prior to incorporating them into the record.
It was used to import paper Adoption records into the EMC Application Extender ECM system.
- Processed batches.
- OCR - Optical Character Recognition processing.
- User workflow.
- Error handling.
- GUI updated.
- It met the business requirements.
- Workstation licenses are a bit high, but it is from a large well established company that has been supporting this product a long time, and is well respected.
Kofax was a better solution for higher volumes of work, and automatic index data entry. It also provided OCR and Barcode reading.
